The Office Manager is responsible for overseeing daily office operations to ensure maximum efficiency across administrative management, facilities, finance, procurement, and staff support functions. The ideal candidate will be proactive, organized, and adept at coordinating resources and stakeholders. This role is critical in fostering a positive, productive, and compliant work environment.

Responsibilities:

  • Administrative Management: Coordinate and streamline daily office operations, maintain comprehensive filing systems, and continually improve administrative processes.
  • Financial Oversight: Manage office budgets, monitor expenses, maintain accurate financial records, and support financial reporting.
  • Facilities and Resources: Oversee maintenance of office spaces and equipment, liaise with facilities contractors, and ensure a safe workplace.
  • Information Technology Coordination: Serve as the primary liaison with internal and external IT teams to resolve user issues and escalate support when needed.
  • Procurement and Inventory: Lead procurement activities, administer supply inventories, manage vendor relationships, and issue purchase orders as required.
  • HR and Staff Support: Support employee onboarding, assist with recruitment and training, and address ongoing staff needs in collaboration with HR.
  • Logistics and Asset Management: Manage logistics for goods inbound and outbound, maintain records of inventories and fixed assets, and ensure accurate tracking of shipments.
  • Communication: Act as a professional point of contact for internal and external stakeholders, ensure effective communication flows, and handle correspondence.
  • Regulatory Compliance: Ensure adherence to health, safety, and government regulations, and keep compliance records up to date.
  • Event and Meeting Coordination: Organize team meetings, company events, and support collaborative activities to enhance employee engagement.

Qualifications & Experience

  • Core Competencies: Exceptional organization and time management, strong communication and interpersonal skills, proven leadership, and resilience in multitasking and problem-solving environments.
  • Procurement Expertise: Demonstrated experience in sourcing, managing vendor relationships, and purchasing office supplies and services.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and experience with Workday and Rydoo.
  • Professional Background: At least 2 years’ experience as an Office Manager or in a comparable administrative leadership role.
  • Education: Bachelor’s degree in business administration or related discipline preferred.
  • Work Arrangement: Must be able to work full-time on-site in Boston, MA.
